Organizing an academically rich seminar that also survives a NAAC audit is a real institutional strain — it lands squarely on the IQAC and a handful of faculty. Seminar absorbs that load as a fixed protocol: the same eighteen checkpoints, in the same order, on every event we run. Not a new set of rules — an index. Every protocol below is drawn from the same working SOPs as the Execution Playbook, Media & Photography and the NAAC Documentation Procedure elsewhere on this site; each entry lists what it's for, what it covers, when it runs, and who's responsible for it.
Resource Person ProtocolCollegeEvent Day+
ObjectiveEvery external dignitary — Chief Guest, Keynote Speaker, Resource Person, Session Chair, Principal / Patron — is received, briefed and time-boxed the same way, so the program never stalls waiting on a guest.
FunctionsGuest reception & escort on arrival; pre-session briefing on schedule, session flow and time allocation; seating and introduction; time-discipline cues during their slot; felicitation / memento at session close.
Timing & ScheduleSl 3 (reception) and every stage slot a resource person holds — Sl 6, 8–9, 11–12, 14, 16, 19 — effectively the full 08:30–16:35 program day.

Guest Reception & Hospitality ProtocolCollegeEvent Day+
ObjectiveEvery guest is welcomed and settled in before the program starts, so nothing about hospitality is improvised at the door.
FunctionsWelcome and escort resource persons and guests on arrival; brief them on the program schedule, session flow and time allocation; ensure refreshments, seating and hospitality arrangements are in place.
Timing & ScheduleSl 3 · 09:45–10:00 dedicated reception window, then continuous through Tea Breaks (Sl 10, 15) and Lunch (Sl 13).

Registration & Attendance ProtocolCollegeEvent Day+
ObjectiveEvery participant is verified, counted category-wise and equipped before sessions begin — the foundation record NAAC audits check first.
FunctionsVerify online/offline registration; record attendance category-wise (students, faculty, scholars); distribute seminar kits and badges; maintain records in NAAC-filing-ready format.
Timing & ScheduleSl 2 · 09:15–09:45 dedicated window, continuing informally through the morning for late arrivals.

ObjectiveCapture a minimum 30–45 clear, captioned photographs plus video evidence at every major stage, so the event becomes its own NAAC audit file as it happens.
FunctionsPhotograph the 8 mandatory moments (inaugural, keynote, expert lecture, presentations, engagement, certificates, valedictory, group photo); caption every photo "Title | Date | Venue | Activity"; record the 6 recommended video clips; archive to the NAAC folder structure.
Timing & ScheduleContinuous — Sl 4 through Sl 22, every session on the run sheet has a corresponding documentation moment.

Stage & Program Conduct ProtocolCollegeEvent Day+
ObjectiveRun the seminar strictly to the approved schedule with time discipline enforced at every handover, so one slow session doesn't cascade through the rest of the day.
FunctionsCoordinate the inaugural, keynote, expert lectures and technical sessions; enforce time discipline for each session; moderate Q&A and open discussion professionally.

Feedback Collection ProtocolCollegeEvent Day+
ObjectiveCapture enough participant feedback, before the valedictory, to support both quality assessment and NAAC documentation.
FunctionsDistribute printed feedback forms or a QR-based survey; ensure adequate response rate; complete collection strictly before the valedictory session begins.
Timing & ScheduleSl 18 · 16:15–16:25, immediately after the afternoon's open discussion and before the valedictory address.

Valedictory & Closing ProtocolCollegeEvent Day+
ObjectiveClose the event with a formal valedictory, acknowledgement and the mandatory group photograph — the sequence both NAAC evidence and participant goodwill depend on.
FunctionsConduct the valedictory address; deliver the vote of thanks to resource persons, participants and the organizing/IQAC teams; distribute mementos/certificates to resource persons and presenters; close with the mandatory group photograph.
Timing & ScheduleSl 19–22 · 16:25–16:50, the final 25 minutes of the program day.

NAAC / IQAC Documentation ProtocolTopic EngineEvent Day+
ObjectivePreserve every piece of event-day evidence — academic content, attendance, photographs, media coverage — in the standard NAAC filing layout before the team disperses.
FunctionsCollect and preserve academic content, category-wise attendance sheets, certificate-distribution photographs, media coverage, and event photos/videos; file with date-wise and event-wise tagging.
Timing & ScheduleRuns through Sl 22 and into the Final Event-Day Review immediately after — same day, before the team leaves the venue.

Emergency & Contingency ProtocolCollegeEvent Day+
ObjectiveKeep the program running even when equipment fails or a speaker is delayed, without the audience noticing a gap.
FunctionsBackup laptop, microphone and internet hotspot on standby; printed program schedule kept at the registration desk; emergency contact list with the logistics team on hand; first aid and participant-query support at a dedicated help desk.
Timing & ScheduleStanding readiness for the full 08:30–16:50 program day — not tied to a single slot.

On-Duty Volunteer ProtocolCollegeEvent Day+
ObjectiveOne baseline of conduct that applies to every volunteer regardless of which of the ten duty-card roles they're assigned, so coordinators only need to brief the role-specific parts.
FunctionsReport to the assigned venue at the stated reporting time; never leave the post without a replacement; defer any issue to the relevant In-Charge rather than deciding independently; coordinate with adjacent teams (Hospitality ↔ Escort, Refreshment ↔ Hospitality); stay calm, polite and alert, especially near guests or the stage.

ObjectiveKeep every AV and technical dependency working through the day, with a standing fallback the instant something fails, so a mic dropout or projector freeze never becomes a visible gap.
FunctionsVenue AV setup and testing before doors open (Sl 1); pre-session equipment testing with backup cables kept ready; standing readiness for the backup laptop, microphone and internet hotspot; equipment de-rig and return at close.

Management Team ProtocolCollegeAll Phases+
ObjectiveGive each functional cluster of volunteers one accountable escalation point, so problems get resolved on the spot instead of stalling.
FunctionsConstitute and brief the Organizing, Academic/Technical, Logistics and IQAC committees with a formal order and defined roles, before the event; each In-Charge owns their cluster's volunteers for the day and is the first point of contact for on-the-spot issues; sign off on their area's checklist items before the day closes; compile their area's contribution to the post-seminar report.
Timing & ScheduleCommittee constitution weeks before, through the Final Event-Day Review (Sl 22) and into Post-Seminar reporting — the only team whose protocol spans all three phases end to end.

The most constructed of the thirteen — "Management Team" isn't named as a group in any source document. Scope, sign-off and reporting duties are inferred from the Committee Constitution step and the recurring escalation pattern across the duty cards.
