The same three phases, broken down into what actually happens.
This is our real working SOP — the exact steps, run sheet and duty cards our coordinators use, not a generic guide. The full text is personalizable with your event details in the SOP & Formats Library ↓ (Formats E).
✓ Do
- ✓Maintain strict time discipline for every session — the run sheet is a commitment, not a suggestion.
- ✓Capture photographic and video evidence at every major stage, especially the inaugural and valedictory.
- ✓Record attendance category-wise — students, faculty, research scholars — from the start.
- ✓Collect feedback before the valedictory session, not after.
- ✓Take the group photograph — it's mandatory NAAC evidence.
- ✓Test every piece of equipment — mic, projector, internet — before the session begins.
- ✓Keep a backup: spare laptop, mic batteries, and an internet hotspot on hand.
- ✓Get written approval before starting any further activity.
- ✓Brief volunteers and issue duty cards at least a day before the event.
- ✓Verify against the NAAC Evidence Checklist before you archive the file.
✗ Don't
- ✗Don't leave a duty station (registration, help desk) without an approved replacement.
- ✗Don't let stage volunteers talk or move around near the podium during a session.
- ✗Don't miss photographing the inaugural or valedictory session — it can't be recreated later.
- ✗Don't let certificate names or order get mismatched at distribution.
- ✗Don't let registration or refreshment queues overcrowd — manage the flow proactively.
- ✗Don't start the next session before the resource person or session chair is actually in place.
- ✗Don't finalize the post-seminar report before feedback analysis and financial closure are both done.
13-step procedure
Step 1 — Seminar Proposal & ApprovalCollegePre+
Draft title, theme, rationale, objectives, target participants, tentative date/venue/mode, proposed resource persons and a budget estimate. Submit to HoD / IQAC / Principal and obtain written approval before anything else begins.
Step 2 — Date, Venue & ModeCollegePre+
Finalize the date after checking the academic calendar. Choose the venue on seating capacity, accessibility and AV/ICT readiness. Fix offline, online or hybrid mode.
Step 3 — Theme & Sub-ThemesTopic EnginePre+
Align the main theme with curriculum, emerging research and NAAC benchmarks. Define sub-themes to guide technical sessions, paper presentations and panels.
Step 4 — Objectives & Expected OutcomesTopic EnginePre+
State measurable outcomes: expected participant numbers, feedback quality, and research or academic impact.
Step 5 — Budget Planning & ApprovalCollegePre+
Prepare a head-wise estimate — honorarium and TA/DA, printing, publicity, documentation and NAAC filing, contingency — and obtain formal budget sanction.
Step 6 — Committee ConstitutionCollegePre+
Constitute the Organizing, Academic/Technical and Logistics committees, plus a dedicated IQAC committee for the seminar. Issue a formal committee order with defined roles.
Step 7 — Resource Person Identification & ConfirmationTopic EnginePre+
Shortlist experts by relevance, assign roles (Keynote / Expert Speaker / Session Chair), and open communication on session topic, schedule and logistics. See the confirmation timeline below.
Step 8 — Invitation LettersTopic EnginePre+
Dispatch formal invitations covering theme, approved schedule, assigned role, and travel/hospitality arrangements. Follow up until confirmed.
Step 9 — Program Schedule & Event-Day GuideTopic EnginePre+
Draft the full-day schedule — inaugural, keynote, technical sessions, Q&A, valedictory — and compile an Event-Day Guide for organizers and volunteers.
Step 10 — Publicity & Digital OutreachTopic EnginePre+
Theme-based brochure and posters, banners and standees, a promotional video, and QR codes on invitations and printed material.
Step 11 — Website & Registration SetupTopic EnginePre+
A dedicated event page with theme, schedule and resource-person profiles, plus separate registration for general participants, research scholars and paper presenters.
Step 12 — Seminar Kit PlanningTopic EnginePre+
Assemble kits — program schedule, notepad, pen, badge, feedback form — and arrange printing and packing.
Step 13 — Venue Readiness & RehearsalCollegePre+
Inspect seating, AV, projector, microphones and internet. Run a full rehearsal to test session flow and timing, and prepare a backup plan for power, internet and devices.

This is the sample sequence — use the Program Schedule Builder below to generate the same structure around your own start time.
Execution procedure — by phase
Morning Session
- Complete stage layout, podium, seating and AV testing before the registration desk opens (Sl 1).CollegeEvent Day
- Verify registration and record attendance category-wise — students, faculty, research scholars — it must be filed for NAAC (Sl 2).CollegeEvent Day
- Escort every resource person, keynote speaker and dignitary on arrival; brief each on the schedule, session flow and their allotted time before they're seated on the dais (Sl 3).CollegeEvent Day
- Hold strict time discipline from the welcome note through the keynote Q&A — the MC controls transitions, stage volunteers keep speakers informed of remaining time (Sl 4–9).CollegeEvent Day
- Capture photographs and video at the inaugural, lamp-lighting, keynote and audience-participation moments — mandatory NAAC evidence, not optional (Sl 4–9).CollegeEvent Day
- Keep the Expert Lecture and its interaction inside their 50 + 15-minute box — running over here delays lunch for everyone (Sl 11–12).CollegeEvent Day
Lunch Break
- Seat and serve resource persons separately from general participant catering, as part of the guest-hospitality protocol.CollegeEvent Day
- Reset the stage kit for the afternoon — name placards, speaker-sequence list and mementos for the next set of speakers.CollegeEvent Day
- Brief the afternoon Session Chair on sub-theme groupings and per-presenter time limits before sessions resume.CollegeEvent Day
Afternoon Session
- Run each technical session by sub-theme with strict per-presenter timing control — confirm equipment readiness for both physical and online presenters beforehand (Sl 14, 16).CollegeEvent Day
- Session Chair moderates discussion professionally and keeps a presenter record for certification and reporting (Sl 14, 16).CollegeEvent Day
- Hold the open discussion / panel interaction to its 15-minute window so feedback collection isn't rushed (Sl 17).CollegeEvent Day
- Collect feedback — printed forms or QR survey — before the valedictory session begins, with an adequate response rate for NAAC documentation (Sl 18).CollegeEvent Day
- Arrange certificates and mementos in order in advance so distribution afterward is smooth, not scrambled (Sl 20).CollegeEvent Day
Closing
- Deliver the vote of thanks, acknowledging resource persons, participants and the organizing/IQAC teams by name (Sl 21).CollegeEvent Day
- Distribute mementos or certificates to resource persons and paper presenters as applicable (Sl 20–21).CollegeEvent Day
- Close with the mandatory group photograph — banner and date clearly visible — before dignitaries are escorted out (Sl 22).CollegeEvent Day
- Confirm every session ran to plan and that all documents, photos and videos are backed up before the team disperses.CollegeEvent Day
Resource person protocol
Principal / Patron — Inaugural Address (Sl 6, 10 min)CollegeEvent Day+
Duty: Delivers the Inaugural address as presiding dignitary, immediately after the welcome note and theme introduction.
Protocol: Received and briefed on arrival like every dignitary — schedule, session flow, time allocation (Sl 3). Seated at the centre of the dais as presiding officer. (Suggested) Escort volunteers keep this address moving with zero delay — it's the only item standing between the welcome and the 10:30 keynote start, so any slippage here cascades through the whole morning.
Keynote Speaker — Keynote Address (Sl 8, 45 min) + Q&A (Sl 9)RPEvent Day+
Duty: Delivers the day's keynote, then takes audience questions moderated by the Session Chair.
Protocol: Escorted to the venue and briefed on schedule and time allocation before taking the dais (Sl 3). Name placard and the printed speaker-sequence list are at the podium as part of the Stage Kit; a bell or cue card signals remaining time so the 45-minute slot holds. (Suggested) Felicitated with a memento immediately after the Q&A closes, rather than deferring every speaker's felicitation to the general valedictory.
Resource Person — Expert Lecture / Special Address (Sl 11, 50 min) + Interaction (Sl 12)RPEvent Day+
Duty: Delivers the Expert Lecture / Special Address, then a Session-Chair-moderated interaction — the last item before lunch.
Protocol: Same reception and escort protocol as the keynote speaker (Sl 3). (Suggested) Briefed explicitly that overrunning this slot pushes lunch back for the whole hall, so punctuality is flagged in the pre-session briefing, not left implicit. Introduced with a short spoken bio by the Session Chair, and thanked/felicitated when this session closes rather than at the general valedictory.
Session Chair — Q&A, Interaction & both Technical Sessions (Sl 9, 12, 14, 16)RPEvent Day+
Duty: The busiest resource-person role of the day — moderates the keynote Q&A, the expert-lecture interaction, and chairs both Technical Session I and II.
Protocol: Ensures proper session allocation, presentation-timing control and equipment readiness for each paper presenter, and maintains a presenter record for certification. Moderates every Q&A and open discussion professionally. (Suggested) Holds the printed program schedule and a timer/cue card for each block; opens every technical session by restating the sub-theme and per-presenter time limit; flags an overrunning presenter to the stage-assistance volunteer rather than interrupting mid-sentence.
Chief Guest — Valedictory Address (Sl 19, 10 min)CollegeEvent Day+
Duty: Delivers the Valedictory address as the closing session's presiding dignitary, immediately before certificate/memento distribution.
Protocol: Received and briefed on arrival like every dignitary (Sl 3) — timed to the afternoon rather than the 8:30 AM committee call. (Suggested) Seated in the reserved front-row dais position for the closing session; introduced by the Organizing Secretary; presented with the memento/bouquet as part of the certificate-distribution sequence (Sl 20) before the vote of thanks; escorted out after the group photograph.

Step 1 — Data Compilation & VerificationCollegePost+
Finalize category-wise attendance, organize photographs and videos, and verify all financial documents — quotations, bills, vouchers, payment proofs.
Step 2 — Feedback AnalysisTopic EnginePost+
Compile responses, analyze satisfaction on academic content, resource persons and logistics, document suggestions, and share findings with the IQAC.
Step 3 — Certificate GenerationTopic EnginePost+
Issue certificates to participants, resource persons and paper presenters. Update the Certificate Issue Register and retain distribution photographs.
Step 4 — Financial ClosureCollegePost+
Verify bills against sanctioned quotations, complete payments, prepare the Final Expenditure Statement (approved vs. actual), and submit for audit.
Step 5 — NAAC-Compliant ReportTopic EnginePost+
A structured report across nine sections — see below — cross-referenced to the criterion the event supports.
Step 6 — Proceedings & Academic OutputsTopic EnginePost+
Compile the Proceedings Booklet — abstracts or full papers, session details — assign ISBN/ISSN if published, and preserve soft and hard copies.
Step 7 — Valedictory Session ReportTopic EnginePost+
Optional but valuable NAAC evidence: highlights, concluding remarks, vote of thanks, and photographs from the valedictory session.
Step 8 — Record Maintenance & ArchivingTopic EnginePost+
Compile the complete seminar file — approvals, schedule, attendance, feedback, certificates, finances, report, proceedings — for AQAR, audits and future reference.
Step 9 — Final Review & Compliance CheckTopic EnginePost+
Verify against the NAAC Evidence Checklist, ensure every document is signed, dated and labelled, and map outcomes to the relevant criteria and metrics.
