Tea and lunch timings are the real Sl-numbered slots from the Event-Day Run Sheet; breakfast doesn't appear in the documented SOP at all — the run sheet starts at 8:30 AM with venue setup — so it's marked below as a suggested addition, not a sourced one.

Committee & Volunteer Breakfast

  • Not part of the documented Event-Day SOP — the run sheet begins at 8:30 AM with venue setup. Add this only if your team genuinely arrives early enough to need it.
  • If used: a light breakfast/tea for the core organizing team and volunteers arriving before the 8:30 AM setup call, so setup doesn't start on an empty stomach.
  • Kept separate from guest catering — resource persons and dignitaries aren't briefed to arrive this early (Guest Reception, Sl 3).

Morning Tea / Refreshment Break

  • 15-minute window between the Keynote Q&A and the Expert Lecture — hold to it strictly, the Expert Lecture's 50-minute slot has no slack built in.
  • Drinking water and refreshments arranged as part of Early Setup, before doors open.
  • Hospitality Volunteers serve water, tea and refreshments; Refreshment Management Volunteers manage the queue and prevent overcrowding.

Lunch Break

  • 45-minute window between the Expert Lecture's interaction and Technical Session I.
  • Resource persons and dignitaries are seated and served separately from general participant catering, per the Guest Reception & Hospitality Protocol.
  • Lunch coupons (Printing & Stationery kit) are checked at the serving point to manage headcount.
  • Hospitality Volunteers assist during lunch; Refreshment Management Volunteers manage queues and keep the area clean.

Afternoon Tea Break

  • 15-minute window between Technical Session I and Technical Session II — the same time discipline as the morning break.
  • Last hospitality service point of the day — no further catering is scheduled after this on the run sheet.
